ITE Regional Administrator - East, South & London

We are recruiting for an experienced Administrator to join our regional ITE team. They will support our regional ITE Programme Manager, who is responsible for the proactive and effective planning, execution and administration of ITE. The ITE Administrator reports to the programme manager alongside the regional Head of ITE and Deputy Heads of ITE. They will work closely with their counterparts across the NIoT to ensure that our ITE provision is well supported.

About the Role  

We are recruiting for an experienced Administrator to join our regional ITE team. They will support our regional ITE Programme Manager, who is responsible for the proactive and effective planning, execution and administration of ITE. The ITE Administrator reports to the programme manager alongside the regional Head of ITE and Deputy Heads of ITE. They will work closely with their counterparts across the NIoT to ensure that our ITE provision is well supported.

Candidates must be within commuting distance of our London campus in Peckham with occasional travel across the region and will work on campus four days per week with one day per week working from home by agreement with your Line Manager. 

This is an exciting opportunity to initially support the planning and delivery of the ITE programme within the East, South and London (E,S&L) whilst we are in start-up mode and work in close collaboration with regional colleagues to ensure the provision is of high quality.

Main Duties & Responsibilities

Administering our ITE programme within the East, South and London (ESL).

To be a key point of contact for our regional programme participants and programme manager, supporting them with responses around programme logistics and administration:

  • To assist with ensuring all internal and external records are kept accurate and up to date including Single Central Records across regions, DfE Register, Tracker of Trainees, Mentor attendance and Distribution Groups.
  • Ensuring all relevant stakeholders have appropriate access to MS Teams Tiles, Apprenticeship documentation, IRIS and all other external portals/systems.
  • To assist the Registry team with registering all trainees on Student Finance, ensuring applications are accurate portal updated with any new applications, changes, deferrals and withdrawals.
  • To assist the Registry team to ensure accurate record keeping and the smooth administration of the PGCE programme.
  • To draft and post programme updates for trainees and colleagues on Microsoft Teams, IRIS and other platforms as required.
  • To set up and help prepare key events for programmes, including the drafting of materials, printing, venue set up, etc.
  • To manage the reception desk by greeting visitors, handling incoming calls and inquiries, directing guests appropriately and ensuring a professional, welcoming front-desk environment.
  • To support key events e.g. managing sign-in, etc.
  • To support the Regional Principal, Head of ITE, Deputy Heads of ITE and ITE Programme Manager with all other administrative efforts around the School Direct, PGTA and Assessment Only programmes. This might include tasks like; helping to organise key meetings with our Associate Colleges, administrative tasks related to our other programmes (ITE, ECF and NPQ).
  • To support team coordination and team building activities.
  • To provide diary management and PA support as required.

Essential Criteria

  • A commitment to the aims of the National Institute of Teaching.
  • An interest in the education sector and a belief in the value of teachers and school leaders.
  • Previous administrative experience.
  • Exceptional interpersonal and written communication skills.
  • Excellent organisational skills and attention to detail.
  • Proficient in the use of MS Office software packages, such as Word, Excel and Outlook, as well as search engines and online databases.
  • A pro-active approach that focuses on solutions.
  • Highly proficient in managing and monitoring processes which drive successful reporting.
  • A sensitivity to the requirements of different audiences and an ability to adapt style appropriately.
  • A track record of, or the potential to co-ordinate key events or programmes (ideally in the education sector).

Desirable Criteria

  • Previous experience of working in a remote and geographically distributed team.
  • Previous experience in the education sector.
  • Experience of using management information systems and/or various online learning environments, particularly Microsoft Teams.
  • Previous team co-ordination/PA experience.

Contract: Full Time, Permanent

(ITE team office hours are between 8.00am and 6.00pm with variation, so all hours are covered between the team – your working hours will be discussed at interview.)

Salary: £33,291 per annum, plus benefits (Scale 5 - SCP12, inc. Inner London Weighting) Pending pay award of at least 3.2%.
